Position: Front Office Executive / Receptionist

Reports To: Admin Manager / Facility Manager
Job Purpose
The Front Office Executive is the first point of contact for clients and visitors. Responsible for managing the reception, handling calls, scheduling, and ensuring smooth administrative operations.
Key Responsibilities
- Greet visitors and clients professionally and courteously.
- Manage incoming/outgoing calls, emails, and correspondence.
- Maintain visitor logs, appointment schedules, and front desk records.
- Coordinate with internal teams for meetings, office requirements, and requests.
- Handle courier, mail, and office supply distribution.
- Ensure the reception area is clean, organized, and presentable at all times.
- Assist with minor administrative tasks such as filing, scanning, and documentation.
- Escalate any complaints or issues to the Admin Manager or Facility Manager.
Requirements
- Minimum 1–3 years of experience in front office/reception or administrative support.
- Excellent communication and interpersonal skills.
- Professional appearance and etiquette.
- Basic computer knowledge (MS Office, email, scheduling software).
- Ability to multitask and handle visitors in a polite and efficient manner.
